Overview
A youth leadership organization faced a critical bottleneck: their chapter registration process was a fragile chain of disconnected tools. Prospective chapter leaders, filled with enthusiasm and ready to make a difference, encountered a registration journey that was less a path and more a technological maze. From a user-friendly Typeform to a brittle .go server and onto a Google Sheet vulnerable to human error, each step introduced risk of derailing dreams and dampening spirits.
Behind every glitch and manual intervention were stories of potential leaders waiting eagerly to start their journey, only to find themselves navigating a complex puzzle that tested their patience and resolve. Meanwhile, dedicated staff worked tirelessly, manually sifting through data, correcting errors, and sending welcome emails—every moment spent troubleshooting was a moment away from empowering the very leaders they sought to support.
What I Did
I designed and engineered an end-to-end automation platform that transformed the chapter registration experience from a fragile, manual process into a seamless, scalable system. Here's what I built:
Seamless Integration Pipeline: When an aspiring leader submits their registration through a simple online form, the data flows through a sophisticated orchestration layer I built using Prefect. Every piece of information is validated, transformed, and routed to its destination without manual intervention.
Platform Integration: The processed data is automatically delivered to the organization's community platform (Hivebrite), ensuring each new chapter is instantly recognized and set up for success—no manual data entry required.
Multilingual Communication System: Understanding the global reach of the organization, I implemented an automated welcome system that dispatches personalized emails to new chapter leaders in three languages—Spanish, English, and Portuguese. This ensures every leader feels welcomed in their native tongue.
Proactive Error Handling: I built intelligent monitoring and alerting that doesn't just catch errors—it acts on them. Issues are automatically logged, categorized, and communicated to the team with full context, enabling swift resolution without frustrating delays.
Analytics and Reporting via Salesforce: All registration data flows securely into Salesforce, providing the organization with real-time insights into chapter growth, geographic distribution, and engagement patterns—enabling data-driven decision making and continuous improvement.
